“Dille & Kamille streamlines procurement for all its shops with DocuFlow”
With 43 retail outlets in the Netherlands and other countries, Dille & Kamille expects rapid expansion in the coming years. With the switch from SAP to Business Central in 2021, the retail chain was looking for a new automated solution for all purchase orders, packing slips, invoices and credit notes. And it found it, too, in DocuFlow from Documizers.
Growing bigger
With the growth of Dille & Kamille – the formula aims to add 5 new shops per year – switching from SAP to Microsoft Business Central appeared to be the way to go. To make this switch, application manager Farhan Masood worked with implementation partner SucceedIT: “They recommended DocuFlow for our document management. We now use this to automate our purchase orders, packing slips, invoices and credit notes.”

Streamlined procurement
With 43 shops and a product range in the hundreds, document automation delivers major benefits. “We have a lot of shops and a lot of items, which also means a lot of transactions. We process an average of 8 packing slips here every day. Now a packing slip is automatically sent to the shops and the printer, which saves us a lot of time and makes our own ordering process easier.”

Co-creation
The switch to a new system was a big one for Dille & Kamille. Masood explains, “We optimised a lot in the first phase. It’s all working now, so we can put the finishing touches on it. To me, collaboration in
something like this is very important – and that is very pleasant with Documizers. I can say what I want and they will ensure that it gets done and done well. They are easy to reach and handle problems promptly. We are on the same page: we don’t dwell on the impossible but rather think in terms of solutions.”
Mapping out the new document process
Dille & Kamille uses Microsoft Business Central for the source data and AXI for procurement. DocuFlow handles the documents in the background with Microsoft Word and Outlook.
Purchase orders
- Dille & Kamille prepares the order (items, quantities, etc.) in Microsoft Business Central.
- DocuFlow automatically generates the purchase order.
- Dille & Kamille makes the text supplier specific.
- The supplier automatically receives the order by email.

Packing slips
- Dille & Kamille retail staff receive automatic re-order suggestions in AXI.
- Retail staff check, add items and send the purchase order.
- Distribution centre in Waddinxveen receives the orders.
- Distribution centre checks and processes the order.
- DocuFlow automatically generates the packing slip.
- The packing slip is printed and emailed to the shops.
- The orders are shipped to the shops.
For invoices and credit notes, automatic emails are sent to the Finance department where these are processed further.
